Search in CIM


You can conduct simple or advanced search to filter the log items displayed in the List view according to certain criteria. You can search for log items irrespective of what incident it be connected with, when using Advanced search.

The following search options are available on the Search bar:

·  Simple search: You can use it search for log items whose ID, Subject, Description, Source, Phone and Registered by fields contain your search expression.

·  Advanced search: You can use it to combine search criterions.

To display the Search bar, on the Function bar in the List view, click  Search.

You can click Search repeatedly, to alternate between hiding and displaying the Search bar, without resetting the list and the search criteria used in the most recent search.

To conduct a simple search

  1. On the Search bar, write a search expression in the text box, and click the Search button. For information about search expressions, click the Help button () on the Search bar. After the search is conducted, only the log items that fulfil the search criteria are displayed in the List view.
  2. To conduct another search, edit the search expression, and click Search again.

To conduct an advanced search

  1. On the Search bar, click Advanced search.
  2. In the Advanced search dialog box, select the search criteria.
  3. Select the Keep open checkbox for the dialog box to remain open after the search has been conducted.
  4. Click Search. If you close the dialog box when you have conducted a search, the search criteria from your previous search will be saved, until you click Reset.

In an Advanced search you can use the following search criteria:

Free text

Write a search expression, as in simple search. If you leave this field empty, the other search criteria is used when searching.

Search in

If a search expression has been written in this textbox, you can limit the search only to certain fields from the log form. Use the checkboxes to select one or more of the fields ID, Subject, Description, Source, To, Copy, Phone, Confirmed by and Registered by. If no fields are selected, the search will be conducted in all fields.

Reported

Select a From date and/or a To date by clicking the respective Date picker button () to search by reported date and/or time.

Filter

Select a log type from the list.

Categories

Select one or more categories. If no categories are selected, the search will include the available categories. The field applies only to log items of the type Log.

Search across incidents

Select this checkbox to conduct the search irrespective of incident. When this checkbox is selected, additional fields become available for narrowing the search: Search in: Select from the drop-down list what status the incidents must have to be included in the search (for example Active incidents, Active and closed incidents or Closed incidents) Only incidents of type: Select one or more checkboxes for the incident types this search will include.

To reset the List view and hide the Search bar, click Reset.

Log List view

The log items are shown as rows in the list in the List view. Log items can also be displayed as entries on a timeline.

To sort the list by the values of a column, click the respective column header. You can click the column header repeatedly to alternate between displaying ascending and descending order. All columns, except the column showing icons, can be used for sorting the list.

Icons in the List view

Some log items can be marked with one or more icons indicating log item status or properties:

 Updated

The log item has been updated. Point to the icon to view the date and time of the last update.

 Attachments

One or more attachments to the log item. Point to the icon to see the number of attachments.

Information in the List view

ID

The unique identification number of the log item, automatically assigned on registration. The log item IDs are unique only to the incident they are associated with. The log item identification numbers of an incident start with log item number 1, which corresponds to the first incident registered (if no alternative numbering has been configured).

Reported

The date and time of the reporting. For automatic logging, this time stamp is identical to date/time registered. For log items logged manually (the types Log and Media request), Reported date and time can be different from the registration time stamp.

Type

The name of the module the log item is related to (for example Action, Assignment, Basic log, Customer answer, Document, Feedback, Information board, Incident, Log, Media answer, Media request, Message, Next of kin answer, Press release, Report, Shared log, Statements, Status report and Task).

What types of log items are available in a menu item depends on the setup and the menu item settings. The type determines the properties of the log item, and the functions available for this log item.

Subject

The subject of the log item.

Registered by

The name of the user or organization who created the log item.

Status

The status of the log item. The statuses depends on Type (for instance, if the log item is of the type Message, the status can be Draft and Sent).

Functions ()

Click to edit or delete the log item.

The Detail view

When a log item is selected in the List view, its details are displayed in the Detail view. The layout and types of information displayed in the Detail view depend on the type of the selected log item.

These types are connected to the log module:

  • Incident
  • Log
  • Message
  • Info
  • Task
  • Action
  • Report

NB: To get a description of the detail view of each type, read the online help for each of the modules at the top menu.

The Detail view for log items of the type Log display the following information:

The functions available from the Function bar depends on the type of log item. The following functions can be available for log items of the type Log:

Point to  Send and select either Plain text, Formatted or Send as attachment, to send a message from the log item. This function is unavailable for a log item marked Contains sensitive information.

Functions

In each detail view you will find a menu with these functions in the upper right corner on the function bar:

 Print

Click to print the details of the selected log item.

 View history

Click to open the History window for the log item. This function is available only for log items that have been updated.

 Move log entry

Click this button to move the log item to the log of another incident. This function is available only if you have the user right Move log entry.
